Group Inquiries

The Group Inquiries screen collects requests for large or corporate bookings — birthday parties, team events, leagues — that customers submit through the venue’s group-booking form. Your team uses it to triage each lead, move it through a status pipeline, record internal notes, and follow up.

Open Group Inquiries in the admin sidebar (under Operations, mail-question icon).

Every inquiry has one of six statuses. Tabs at the top filter the list by status, plus an All tab.

StatusMeaning
NewJust submitted, not yet handled.
ContactedYou’ve reached out to the organizer.
ApprovedThe event is agreed but not yet paid.
PaidPayment received.
CanceledThe organizer called it off.
ClosedDone and archived.

Each row is one inquiry. Click it to open the detail panel.

Clicking a row opens a side panel headed by the event name and organizer. From here you can work the lead:

  • Status — a dropdown to move the inquiry through the pipeline. Changing it saves immediately and shows a confirmation.
  • Event type, Group size, Preferred date, Rigs × hours — the request details at a glance.
  • Add-ons — any extras the organizer asked for, or .
  • Estimated total — the price estimate with the currency code.
  • Notes — a free-text box for internal notes about the lead. Edit it and click Save; a Cancel option reverts unsaved changes. Notes are staff-only.
  • Contacted and Closed — timestamps showing when those milestones were reached.

The Delete button at the bottom of the detail panel removes the inquiry after a confirmation. This is a soft delete — the record is hidden from the lists but can be restored from the database if needed.
